Privacy notice

This notice explains what personal information the William Rose Foundation collects when you interact with us, how we use it, and your rights under UK data protection law. We are a Charitable Incorporated Organisation (registration pending) based in England.

What we collect and why

Newsletter and parent community. When you sign up, we collect your email address and, optionally, your first name. We use this only to send you the newsletter and community updates you’ve asked for. Our lawful basis is your consent. You can unsubscribe at any time using the link in every email.

Donations (when registration is confirmed). If you donate, we’ll collect your name, contact details, donation amount, and (where you choose) a Gift Aid declaration. We hold this for HMRC and accounting reasons (7 years) and to thank you and keep you updated as a supporter under legitimate interests, with the option to opt out at any time.

Contact forms and emails. If you message us, we’ll use your details to reply, then hold them only as long as needed.

Website analytics. We may use anonymised website analytics to understand traffic patterns. You can accept or decline these cookies on the cookie banner.

Your rights

You have the right to ask us what data we hold about you, to correct it, to ask us to delete it, to object to its use, and to lodge a complaint with the Information Commissioner’s Office at ico.org.uk.

Children’s data

Our parent community is for adults aged 18 and over. We don’t knowingly collect data from children under 18 via our community. Where parents share information about their children with us, we hold it as part of the parent’s record and protect it accordingly.

Sharing

We don’t sell, rent, or trade your data. We use trusted processors (for example our newsletter platform and donation platform) under written agreements that protect your data. We share data with statutory authorities only where required by law, such as in safeguarding situations.

Cookies

We use a small number of essential cookies to keep the site working. We may also use anonymised analytics cookies, which load only after you accept them on the cookie banner. We do not use advertising or cross-site tracking cookies.

Security

We protect personal data with appropriate technical and organisational measures, including encrypted transit and storage, access controls, and staff training.

Updates to this notice

We review this notice each year and after any major change. The current version is dated May 2026.
